Your visit record and what the family sees

What check in and check out capture, how location verification works when GPS fails, and which parts of your work reach the family.

Every visit you run produces a record: when you arrived, when you left, whether your location could be verified, and whatever you documented in between. That record is what the family reads.

Checking in

Before your first check in, a card appears above the visit bar reading "Check-in uses your location". Tap See how and why to open it. It explains what gets captured and asks you to acknowledge it once. You cannot check in until you do, and you will not be asked again on your other devices.

After that, Check In is one tap, from the visit bar at the top of any page or from the action bar on your landing view.

SeniorThrive captures your location once when you start a visit and once when you finish. Never continuously, never in the background, and never between the two.

When location does not work

If you have location turned off, or your phone cannot get a fix, you can still check in. A short step opens and asks you to pick a reason:

  • Location permission is off

  • My phone can't get a location right now

  • At a medical appointment with the client

  • Out in the community with the client

  • Running an errand with the client

  • Something else, with a box to explain

Pick one and continue with "Start visit without verification". The visit starts normally. The record shows as unverified with your reason attached, so the family reads context rather than a gap.

While the visit is running

The bar at the top of every page turns into your visit bar. It shows VISIT IN PROGRESS, a running timer, the client's name and address, and a verification badge reading one of:

  • Verified at the client's home, using their first name

  • Off-site, with the distance from their home and your reason if you gave one

  • Location not captured, with your reason

  • Visit in progress, while check out has not happened yet

Three controls sit on that bar. Quick Vitals records readings. Document opens the full visit form. Update takes you to the family page so you can send something now rather than at the end.

Checking out

Check Out runs a short sequence. First a daily summary step. Then a prompt asking whether to create a shift handoff for whoever is on next, which you can skip. Then your check out location, or the same reason step if location is unavailable.

Last comes the note, under the heading "Before you check out". Three fields:

  • How did the visit go?

  • Anything stand out? (optional)

  • What's next? (optional)

Choose Save note and check out and the note goes to the family with the record. Choose Check out without a note and the visit ends without one. If you tapped Check Out too early, the Cancel link under the form puts you back in the visit with the timer still running.

Check out location capture is best effort. If it fails or hangs, you fall through to the reason step rather than being stranded in an open visit.

What reaches the family

  • The visit record itself: times, duration, and the verification badge with your reason if there is one.

  • The note you leave at check out.

  • Incidents and falls you document. These are part of the care record.

  • Vitals and observations you record during a visit.

Sharing wider than the record is deliberate on your part. The full visit form has a Family Communication section with a "Share this daily care report with family" checkbox. The Routine Visit log has a "Share with family" checkbox. Family in the sidebar is where you compose something directly, including Send Quick Message to the whole Circle or one person.

What the family does not get is a viewing log of you. SeniorThrive does not track who viewed what: there is no seen-by list and no last-viewed record anywhere in the product.

What the record is not

The visit record is your documentation, in your words. SeniorThrive does not check medications against each other and it does not diagnose. Nothing in the record is a clinical finding unless you wrote it as one.

Your own view has limits too, in the client's favour. Companion Chat content is never available to you, in any Circle, in any configuration.

Two settings you control

In Settings, under Documentation Settings:

  • "Auto-tag agency in notes" puts your agency name on your visit notes.

  • "Show family-assigned tasks" decides whether tasks the family created appear alongside yours.

The same page has "Download My Visit Records", which gives you your own copy of which visits you worked, when, how long, and the location captured for each. It deliberately leaves out the notes you wrote about a client, because those are the client's health information rather than your work record.
